Office of Enrollment Services

The Office of Enrollment Services oversees student academic records, registration, course information and other enrollment matters. It also works with alumni on matters regarding transcripts and other academic documentation. VUSN Enrollment Services works closely with the Vanderbilt University Registrar’s office. The office can be found on the first floor of the School of Nursing Building.

    Please consider adding an emergency contact where indicated, in the event that we need to contact someone on your behalf in an emergency. 

    Name change requests are processed through the Office of the University Registrar and may require documentation supporting that change. Information on this process.

    Please always refer to these detailed schedules in determining your attendance requirements for the term. Do not rely on the posted times and dates you see in YES; these are not always indicative of the full schedule.

    General block dates for the year are posted in late spring for the upcoming academic year. More detailed schedules for each specialty are posted around 2 months prior to the beginning of the next term.

    Everything you need to know about starting at VUSN can be found here. Be sure to thoroughly review the information provided in your new student SharePoint site. 

    VUNetID and Password

    After you pay your deposit, you will receive an email from VU Identity asking you to establish your VUNetID and password, as well as to claim your Vanderbilt email. To access registration and other Vanderbilt systems with restricted access, you must first accomplish this step. For issues with VUNetID or password, contact the Office of the University Registrar at 615-322-7701 or university.registrar@vanderbilt.edu. Once you have established your VUNetID and VU email, please use this email as your primary means of communication with VUSN.

    YES – Your Enrollment Services

    When registration begins (typically July 1 for incoming fall students and early November for spring admissions), you will register self-service via the online student portal, called YES, available at https://yes.vanderbilt.edu. After you have established your VUNetID and password, please log in to YES to familiarize yourself. On your landing page you’ll notice a variety of information. Note: Your 9-digit Commodore ID is your student identification number which is used when interacting with university personnel regarding registration, financial aid, billing and other enrollment-related concerns.

    Post-Master’s Certificate and Post-Master’s Plus DNP Students

    Assistant University Registrar Sara Donahoe will register you for classes based on your individualized plan of study, but you will register yourself in subsequent terms.

    Change of Address?

    If your address has changed, please submit your new address in YES. After you log in, click “Personal Information” in the box under your photo.

    Admission Contingencies

    If you were admitted contingent upon completion of a degree and/or prerequisite coursework, the Office of Admissions must receive your official transcript with final grades and/or degree posted.

    Financial Aid & Billing

    You will be able to access a statement of your account via YES around August 1st for fall entries, and around December 1st for spring entries.     If you are uncertain about which classes to register for, consult the curriculum plans in in the student handbook or on your specialty’s page on the VUSN website, or consult your adviser. 

    Proper registration for courses is a student responsibility and indicates intent to continue enrollment and assume financial responsibility for all tuition and fees. Take advantage of the opportunity for discussion with your adviser. He/she is a resource for you, not just for planning your course of studies, but for all academic matters.

    Required Advising and Registration Update (excludes DNP students)

    MSN and Post-Master's Certificate students have an adviser approval hold that must be released by your primary faculty adviser before you can register. Your primary adviser is the first adviser listed on your YES landing page. For PreSpecialty students, this should be your PreSpecialty adviser. Add the classes you are registering for to your Enrollment Cart and notify your adviser. Once your hold is released, log back into YES and you can enroll in the classes in your cart.

    Post-Master's Certificate and Post Master's Plus DNP Students 

    Because of specialized curriculum plans for the certificate portion, registration is a little trickier for you than other students.  When you attempt to register, please do not be alarmed if you receive an error stating that you don’t have the prerequisites to take a course—it is most likely due to your specialized plan of study for your certificate. Send an email with your EMPLID and error information to sara.a.donahoe@vanderbilt.edu. 

    Location of Learning

    After you’ve added a class to your enrollment cart, if you see an icon of a paper and pencil next to that class listing, click on it and indicate your location of learning (state). Otherwise, you will receive an error when you try to enroll and will have to go back to do so. This is a quick process of selecting the state in which you will be located while participating in that class. Detailed instructions.

    Other Holds

    You may have other registration holds aside from the Adviser Approval hold. Please review these holds and resolve them. These can range from financial holds to clinical placement/compliance holds. YES will display the information you need about whom to contact regarding your hold.

  • Student Forms
    • Contract for Incomplete Grade —After discussion with your instructor, complete the form at this link to initiate the process of submitting a contract for an incomplete grade.
    • Elective Course Form— Complete this form if you are an MSN student who wishes to enroll in an elective outside of your specialty or program of study.
    • Independent Study Agreement —Follow these instructions if you wish to enroll in an Independent Study. Click here for Independent Study Agreement.
    • Request for Leave of Absence— If you wish to take a Leave of Absence, complete this form and forward to your academic director for signature. 
    • Request for Change of Status – When you log into the Kuali system, your name, student ID and email address will automatically generate in the form.
      • Current Classification: Choose your current degree or entry type.
      • Current Status: Choose your current academic status, ie Full Time or Part Time.
      • New Status Requested: Choose your desired change from the options shown. If only requesting a clinical placement change, choose Not Applicable. “Drop a Specialty” is only for use by dual-specialty students or DNP+PMC students. Before choosing this option, be sure you have spoken to both of your academic directors before completing this form. Please note that this form is not appropriate for requesting a change of specialty.
      • Clinical Placement Change: If requesting a clinical placement change, choose from the options shown and indicate in which state you wish your clinicals to be located. Otherwise, choose Not Applicable from the drop-down menu.
      • Reason for Change: Describe your reason for requesting the status change in the final box. If your change will require a change in Expected Graduation Term, please indicate that new term here.

      When you have completed the form, click Submit in the upper right-hand corner, and it will automatically be routed for signatures by the appropriate parties. You will receive a communication confirming your submission. When the process is complete, you will receive a second email notification that your changes have been approved and processed.

    • Withdrawal from the School of Nursing—To withdraw from the school, complete this form and forward to your academic director for signature.
    • Transfer of Credit— If you have been admitted to VUSN and wish to request transfer credit, read this form very carefully and complete, then return to the Office of Enrollment Services. We do not review transfer credit requests until after admission to the school.
  • Transcript Requests and Graduation Information

    Transcripts

    There is no additional fee for a transcript; students are assessed a one-time lifetime fee during their first semester at Vanderbilt University. No unofficial transcripts will be provided. Official transcripts are provided as either electronic or hard copy.

    Transcripts are provided by the Office of the University Registrar upon request by the student. Instructions for requesting your official transcript can be found here.

    If you are a current student, you can request your transcript through YES on your student landing page. Otherwise, you will complete this request form and return to the Office of the University Registrar.

    Timeline for Graduates

    • In the semester of your intended graduation, you will receive an email to confirm and provide certain information for the Commencement Program; please be sure to respond to this email from the Office of the University Registrar.
    • The official date of your conferral can be found on our calendar.
    • Your degree will not be posted on the date of conferral. You can expect your degree to be posted within 4 business days of the conferral date.
    • You may request a paper transcript before conferral, and indicate the request to be processed after your degree is conferred.
    • Electronic transcript requests cannot be delayed; they are processed as requested.

    Degree Verifications and/or Enrollment Certifications

    In most cases, you can request these by phone at 615-875-1118 or email at vusn-studentrecords@vanderbilt.edu.

    Third parties who wish to verify your education at their own initiative may do so at www.studentclearinghouse.org. 

  • Education Verifications and Credentialing

    The Enrollment Services office is available to assist with:

    • Education/enrollment verifications
    • Credentialing verifications
    • HRSA (Health Resources and Services Administration) and NHSC (National Health Services Corps) forms

Sara Donahoe serves as the primary enrollment officer for the school and is the primary point of contact for issues related to student academic records and registration. Ms. Donahoe also serves as the liaison between the School of Nursing and the University Registrar’s Office. She is responsible for:

  • All aspects of student registration, enrollments, withdrawals and leaves of absence
  • All aspects of maintaining student records, including graduation terms, specialties, degree audits and academic status
  • Transfer requests and workflow
  • Final degree audit in advance of degree conferral
  • Block dates and other registration-related dates/calendar
  • Course catalog and class schedule maintenance
